Prometrec — AI Applied to a Real Educator Workflow

01

Problem

The operating friction

Educators repeatedly transform source material such as PDFs and notes into quizzes, exams and assessments. The work is manual, repetitive and inconsistent between sessions.

02

Approach

Translate work into system logic

Prometrec was built as an AI-assisted assessment workflow: source document ingestion, question generation, structured assessment and controlled exam experiences—designed around the educator's real process, not a generic AI wrapper.

01 / The business problem

Assessment creation is repetitive work hiding a judgment task.

Educators repeatedly convert source material—PDFs, notes, past papers—into quizzes and exams. The repetitive part is mechanical: reading, extracting, formatting, structuring.

The judgment part is editorial: choosing what matters, setting difficulty and ensuring fairness. The product problem was separating the two.

02 / Process and product design

AI-assisted, educator-reviewed, deliberately controlled.

  • Source document ingestion: PDFs and notes parsed into structured content.
  • Question generation: drafts produced against the source material.
  • Assessment structure: sections, difficulty and ordering controlled by the educator.
  • Controlled exam mode: timed, structured delivery when required.
  • Human review and export: the educator remains the final editor.

03 / The role of AI

AI does the extraction; the educator keeps the judgment.

Prometrec treats AI as a component inside a controlled workflow rather than an autonomous generator. The pipeline produces drafts grounded in the educator's source material, and every output passes through review before it reaches a learner.

That boundary is what makes the tool trustworthy enough to use in real assessment.

This mirrors the AI-for-business principle used across the practice: AI performs a defined task inside a broader process, with human oversight designed in.

04 / Implementation and product decisions

Contained scope, quality review and clean exports.

The build started with the highest-pain workflow—PDF to structured assessment—rather than a broad feature set. Product decisions followed the educator's process: source control, question types, assessment templates and export formats that fit existing tools rather than forcing a platform change.

Lessons

What the work demonstrated

  1. 01

Separate the mechanical work from the judgment work; automate the first, protect the second.

  2. 02

AI drafts are only as useful as the review process around them.

  3. 03

Contained scope beats broad features when validating a new workflow.

  4. 04

Products win when they fit the existing process instead of forcing a new one.
